All Orders will include FREE SHIPPING within the Continental U.S.. FREE SHIPPING does not apply to Commercial Systems larger than 5.0 Ton. Certain restrictions may apply in remote locations. 2. If your order is placed and payment is received by 12 p.m. EST (Monday - Friday) the order will be shipped the next business day. Orders placed on weekends are processed on Mondays. We ask that you allow 7 - 10 days for shipment to arrive (in most cases it will arrive sooner). In the event of high sales volume, shipments may be delayed up to 2 business days. If an item in your order is on backorder it will require up to 7 - 10 days to ship from our facilities. All Special Orders can take anywhere from 3 - 8 weeks depending on the manufacturer in question. DO NOT schedule the installation of your equipment until you have received it. The Best Price HVAC can not be held responsible for any costs associated with prescheduled appointments missed due to shipping delays. 3. Please consider the following before requesting your order to be shipped to an address other than your billing address. Any shipping address other than the matched billing address must be on file with your credit card company prior to placing the order. If a requested shipping address is not on file with the card issuer, please have the records updated to avoid delays to your order. P.O. Boxes are not considered valid shipping addresses, therefore, if your billing address is a P.O. Box, please be sure to provide your card issuer with your physical address where you will be able to receive your equipment. If your billing address is verified and the requested shipping address is not updated the order will be shipped to the billing address. All cardholder information is verified prior to shipping. Please be sure to enter your billing information carefully, if any of the billing information does not match the issuing banks' records your order will be cancelled and the equipment will not ship. Although this may seem to be an inconvenience, these procedures are implemented to protect both parties from any fraud that can occur. 4. Accessory orders are considered small packages which are shipped via FedEx Home Delivery or FedEx Ground. Individual system components or full system orders are shipped via LTL Freight Carriers. All our orders are assumed to be shipping to a residence which will include free liftgate service. We ask that if your order is being shipped to a commercial location, check the box above the Shipping Details Section and specify if liftgate is not required. You may also receive liftgate service at a commercial location if needed, again be sure to specify in the Additional Information Section of the checkout process. 5. Please inspect the item(s) carefully for any shipping damages. It is possible that small dents or dings to the housings can occur in transit. Minor flaws are cosmetic and DO NOT affect the integrity, operation or warranty of the system. Please note the flaws on the trucking bill and accept the shipment. In the event that major damage is found, BE SURE to note the damage on the trucking bill, along with the drivers' signature and call us immediately. If our clear shrink wrap is torn in any way or has been replaced with any other, be SURE to mark the receipt "Shrink Wrap Torn". Attention Customers The merchandise in each order is thoroughly inspected prior to packaging for shipment. If any item in your order is found to be damaged at time of delivery, rest assured it was damaged in transit. Although it is not likely, it is possible.  Please inspect the item(s) carefully for any shipping damages. If our packaging appears IN ANY WAY to be torn, loose or tampered with please photograph the merchandise BEFORE removing the packaging to further inspect the equipment. Be SURE to mark the receipt "Shrink Wrap Torn" and specify the model number(s) compromised. This will provide us the necessary proof to file a claim should there be significant damage found after final inspection. It is possible that small dents, dings or scratches to the housings can occur in transit. WE WILL NOT BE ABLE TO HELP YOU, WE WILL NOT SHIP YOU A REPLACEMENT AND WE WILL NOT GET INVOLVED WITH THE SHIPPING COMPANY. YOU WILL BE RESPONSIBLE FOR ANY DAMAGES OR SHORTAGES THAT YOU DISCOVER AFTER SIGNING YOUR DELIVERY RECEIPT FREE AND CLEAR. We recommend that you get local advice to be sure of the equipment you need prior to your purchase. You may only cancel your order BEFORE it has been shipped by calling our Customer Service Department. We DO NOT accept cancellations via email (NO EXCEPTIONS), a signed Cancellation Authorization form must be received prior to issuing any refunds. Cancellations are subject to the following charges: 1. If your order is cancelled prior to being packaged, it will be subject to a 5% processing fee. 2. If your order is cancelled after it has been packaged for shipping or once it has shipped it will be subject to a 10% restocking fee. A licensed HVAC (Air Conditioning & Heating) technician needs to troubleshoot, diagnose - and/or pinpoint the exact problem and replacement part before a warranty claim can be requested. Refer to applicable manufacturer's website for an up-to-date parts manual Equipment Arrival Shipping transit times are not guaranteed and may vary depending on your delivery address. The Lift Gate service is recommended on all our orders that contain Heating and Air Conditioning equipment; however it is subject to availability within your local Freight LTL Company delivering terminal. Once your order arrives, make sure to inspect each and every item on the pallet. Count the number of items (boxes) on the shipment. Make sure that your count matches the count printed on the delivery receipt before signing for your delivery. Missing items or incorrect items that were noted on the delivery receipt, must be reported within 24 hours of receiving your order by calling our Customer Service Dept @ (844) 543-4732 M-F 9:00 am est to 5:00pm est. We reserve the right to reject any claim for a missing items if not reported within the twenty-four period. After taking count of the pieces on your shipment, remove wrapping or boxes and inspect each item of equipment thoroughly in the front of the driver. Do not sign the delivery receipt until you have thoroughly inspected each item. Check all of the equipment to make sure it is not dented or heavily scratched. Make sure to mark the delivery receipt clear, short, wrap broken or damaged after inspecting your shipment thoroughly. (Whichever is applicable.) Making notes on the Delivery Receipt: If the number of items noted on the delivery receipt matches what you have received and none of the items have been damaged. Accept your delivery, sign and Mark the Receipt Clear. Please note: The consignee (the customer) is responsible to check and assure that the products being received are clear of damages and/or shortages. If the items or boxes on the shipment do not match the number listed on the delivery receipt. Mark the Receipt Short (a packing slip will be attached to the freight shipment for your reference) Make sure to note on the delivery receipt which items are missing. We will work with the carrier to track the missing items, please allow up to 7 business days for the freight carrier to locate your items. Please allow the appropriate time for the Freight Carrier to locate the missing items notated short on the delivery receipt. If the freight carrier is not able to locate the missing items, we will ship those items via standard ground shipping to you at no charge if the receipt was noted short and the items that are missing are noted on the delivery receipt. If the shrink wrap is torn or has been replaced during transit; Mark the Receipt Wrap Broken. How do I handle a damaged shipment? If any of the items appear to have any type of damage; Mark the Receipt Damaged (write which items are damaged and describe the damage). Any damaged equipment / shortages not reported during time of delivery with driver must be reported within 48 hours of delivery. Failure to report within said time frame will reduce the options we can exercise to resolve the damaged or short delivery. Only refuse the items that are damaged, keep and sign for the items that are in good condition and be sure to notate the items that are being refused for damages clearly on the delivery receipt. You must contact our Customer Service Dept. at (844) 543-4732 to report which product(s) were refused for damages and which product(s) were accepted at the time of delivery. After our Shipping Department receives confirmation from the Freight LTL Company we will promptly ship out the replacement product(s) to you. We only ship out product(s) replacements when the order was refused for damages at the time of delivery. If you have signed your delivery receipt, but later discover your equipment is damaged; you will need to contact the Freight LTL Company terminal to report the damages to the claims Dept and provide them your shipping tracking # to file a claim for damages or shortages. The outcome is between you (the customer) and Freight LTL Company. Within 48 hours of expected delivery: 1. Verify the shipping address is correct 2. Look around for a notice of attempted delivery by the carrier 3. Look around the delivery location for your package, sometimes the carrier will try to place your package in an area that is covered from the elements. 4. See if someone else accepted the delivery, like your next door neighbor! 5. Some packages may travel through multiple carriers; it’s recommended that you check your mailbox or wherever else you receive mail thoroughly. In rare cases packages may say delivered up to 36 hours prior to arrival. We recommend you wait 36 hours for the package. What to do 48 hours past the expected delivery: Any packages that are lost and not reported within 48 hours will unfortunately not be reshipped. If any packages are lost and not reported to HVACStores within the allotted time; you will need to contact the Shipping Company to report the missing items and open a claim with them. The outcome is between you (the customer) and Shipping Company.
